This notice explains how SafetyPro processes the personal data of visitors and users. Because the controller is a company incorporated in the United Kingdom, processing is primarily governed by UK data protection law (UK GDPR and the Data Protection Act 2018). Where we process data of data subjects in the European Economic Area (EEA), Regulation (EU) 2016/679 of the European Parliament and of the Council (EU GDPR) also applies.

1. The controller

The SafetyPro service is operated by Pandai Tech LTD (hereinafter the “Controller” or “we”), a private limited company incorporated in the United Kingdom. Our contact details:

2. What data do we process?

When you use the service and the website, we may process the following data:

  • Contact data: name, email address, phone number, company name and message content when you request a demo or contact us.
  • Account and user data: on registration, name, email address, password (stored encrypted) and user role.
  • Location data: the SafetyPro mobile app may — only with the user’s explicit permission — collect precise location (GPS) data. This feature supports employee position sharing: so the employer can see where field colleagues are during working hours (e.g. to coordinate on-site tasks, for safety and dispatch). Location data may also be collected while the app is running in the background, so position sharing works when the screen is off. The feature is optional, can be switched on or off by the user at any time, and can be withdrawn through the operating system permission prompt. If the user does not consent, we do not collect location data.
  • Technical data: IP address, browser and device type, operating system, time of visit, pages viewed.
  • Data collected via cookies: data needed for website operation and traffic analysis.

3. Purposes and legal bases of processing

  • Handling contact and demo requests – legal basis: consent of the data subject and/or steps prior to entering into a contract (GDPR Art. 6(1)(a) and (b)).
  • Providing the service and account management – legal basis: performance of a contract (GDPR Art. 6(1)(b)).
  • Employee position sharing (location) – sharing the whereabouts of field users with the employer for coordination and safety of work. Legal basis: explicit consent of the data subject (GDPR Art. 6(1)(a)), which can be withdrawn in the app at any time.
  • Operating and securing the website – legal basis: legitimate interests of the Controller (GDPR Art. 6(1)(f)).
  • Traffic analysis and service improvement – legal basis: consent of the data subject (GDPR Art. 6(1)(a)).
  • Compliance with legal obligations (e.g. invoicing) – legal basis: legal obligation (GDPR Art. 6(1)(c)).

4. Retention periods

  • Contact data are retained for up to 2 years after the enquiry is closed.
  • Account and user data are processed for the duration of the contractual relationship or until the account is deleted.
  • Invoicing data are retained for 8 years in accordance with accounting rules.
  • Technical log data are stored for up to 12 months.
  • Location data are processed only while position sharing is active; when the feature is turned off or consent is withdrawn, collection stops immediately.

5. Processors and transfers

To operate the service we use trusted processors (e.g. hosting and cloud providers, email delivery providers, analytics providers). Processors handle data only on our instructions and under appropriate contractual safeguards.

Personal data are stored and processed on servers located in the European Union / European Economic Area (EEA), so we do not as a rule transfer your data outside the EEA. The fact that the Controller is incorporated in the United Kingdom does not mean data are stored outside the EEA. If use of a processor would require a transfer outside the EEA, we will do so only with safeguards required by the GDPR (e.g. an adequacy decision or the EU standard contractual clauses).

6. Cookies

Our website uses cookies for proper operation, to improve the user experience and to measure traffic. Strictly necessary cookies are required for basic website functions and may be used without consent. Analytics and marketing cookies are used only with your consent. You can manage or disable cookies in your browser settings at any time.

7. Your rights

Under the GDPR you have the following rights:

  • Right of access – you may request information about the data we process about you.
  • Right to rectification – you may request correction of inaccurate data.
  • Right to erasure – you may request deletion of your data (“right to be forgotten”). You can request deletion of your account and data on the Account and data deletion page.
  • Right to restriction of processing.
  • Right to data portability – you may request your data in a machine-readable format.
  • Right to object – you may object to processing based on legitimate interests.
  • Withdrawal of consent – you may withdraw previously given consent at any time.

To exercise your rights, write to us at info@safetypro.hu. We will respond without undue delay and at the latest within one month.

8. Data security

We apply appropriate technical and organisational measures to protect processed data, including encrypted transmission (HTTPS), access controls and regular backups. We take all reasonable steps to protect your data against unauthorised access, alteration or destruction.

9. Remedies

If you believe our processing infringes your rights, please contact us first. You may also lodge a complaint with the competent supervisory authority or bring a claim before a court.

We reserve the right to amend this privacy notice at any time. The current version is available on our website. In the event of material changes, we will inform users appropriately.
